Where to start with AI. The checklist we use with small businesses.

Most small businesses meet AI the same way: a chatbot on the website that nobody talks to. We call that AI wallpaper. It looks modern. It does nothing. Here's the order we actually work in, as a checklist you can use this week.

Tick the boxes as you go. They stay ticked on this device, so you can come back to it.

1. Find the job your team hates

• Ask your team one question: what do you do every week that you wish you didn't? Write down the top three answers.
• Next to each one, write how many hours a week it takes and who does it.
• Circle the one that happens most often and follows the same steps every time. That's your first job for AI.

In a restaurant it is often typing supplier invoices on a Sunday night, or answering the same booking questions on the phone. In a clinic it is reminder calls the day before, or typing the same patient details into an insurance claim twice.

2. Give that job to AI first

• Start with one job. One that works beats five that half work.
• Use what you already have where you can: your booking system, your till, WhatsApp Business. The best AI tool is often a feature you already pay for.
• Run it next to your team for two weeks. Count the hours it gives back, and every mistake it makes.
• Be honest about whether it is worth it yet. Tools that read supplier invoices usually pay off at about 15 invoices a week (Maple, 2026). Below that, a simple sheet may be enough.

3. Then let AI answer your customers

• List the ten questions customers ask most: opening hours, bookings, prices, where to park.
• Let AI answer those on WhatsApp and on the phone, in your customers' own language, at any hour.
• Decide what always goes to a person: complaints, allergies, anything medical, refunds.

This is the big one. The average restaurant misses about 150 calls a month (QSR Magazine, March 2026), and every one of them could have been a table. Primary care centres in the UAE cut no-shows by half when AI spotted who was likely to miss and reached out in time (Emirates Health Services, JMIR 2025).

4. Keep a person in charge

• A person checks anything that matters before it goes out: prices, bookings, clinical notes, claims.
• Everything the AI says and does is saved, so you can see it, check it, and fix it.
• Once a month, look at what's working, what isn't, and which job to hand over next.

Skip the wallpaper. Start with one boring job, then let AI pick up the phone.
